YUME SURFCAMPS — TERMS & CONDITIONS

General Booking Policy

ONDAS ATLÉTICAS, LDA · RNAAT nº 1/2025 · 

By confirming a booking and/or making a payment to Yume Surfcamps (operated by ONDAS ATLÉTICAS, LDA), the guest acknowledges and accepts all of the following Terms and Conditions in full.

 

1. DEFINITIONS

In these Terms and Conditions, the following terms apply:

"Yume Surfcamps" or "we" or "the company" refers to ONDAS ATLÉTICAS, LDA, registered in Portugal.

"Guest", "customer", "participant" or "you" refers to any person who makes a booking or participates in any service provided by Yume Surfcamps.

"Booking" means any confirmed reservation for accommodation, surf lessons, transfers, workshops, or any other service offered by Yume Surfcamps.

"Services" means all activities, accommodation, meals, transfers, workshops and any other offerings provided by Yume Surfcamps.
 

2. BOOKING & CONTRACT FORMATION

2.1 How to Book

All booking requests must be made in writing via the booking form on our website or by email. A booking is considered binding for the guest upon submission of the booking form or written request. It becomes binding for Yume Surfcamps upon receipt of the booking confirmation email and/or invoice.

2.2 Confirmation

A booking is confirmed and the contract is valid once: (a) the guest has completed the booking form with all required personal details, and (b) the required payment (deposit or full amount) has been received by Yume Surfcamps. Until payment is received, Yume Surfcamps cannot guarantee availability.

2.3 Accuracy of Information

Guests are responsible for reviewing the booking confirmation promptly and notifying Yume Surfcamps immediately of any errors. Failure to do so within 48 hours of receiving the confirmation will be deemed acceptance of the booking details as correct.

2.4 Accuracy of Personal Details

All personal details required on the registration form must be provided accurately and in full. Yume Surfcamps reserves the right to cancel a booking without refund if false or incomplete information is provided.

 

3. PAYMENT CONDITIONS

3.1 Deposit & Full Payment

To secure a booking, a deposit of 50% of the total booking amount is required at the time of booking. The remaining balance must be paid no later than 30 days before the arrival date. For bookings made within 30 days of arrival, the full amount is due immediately upon booking.

3.2 Accepted Payment Methods

Yume Surfcamps accepts payment by Visa, Mastercard, Apple Pay, and Google Pay. Bank transfer details will be provided in the confirmation email. All payments must be made in Euros (EUR) and free of any transaction fees or deductions — any bank charges are the responsibility of the guest.

3.3 Non-Payment

If the required deposit or balance is not received within the agreed timeframe, Yume Surfcamps reserves the right to cancel the booking and re-offer the accommodation or services to other guests, without any obligation to refund any amounts already received.

3.4 On-Site Extras

Any extras purchased on-site (drinks, optional excursions, additional equipment, etc.) must be settled in full before departure. Yume Surfcamps accepts card or cash for on-site payments.

 

4. INCLUDED & EXCLUDED SERVICES

4.1 What is Included

The services included in each package are specified on the Yume Surfcamps website and in the individual booking confirmation. Only services explicitly listed in the booking confirmation are included in the price.

4.2 What is Not Included

Unless explicitly stated in the booking confirmation, the following are not included in the camp price:

— Flights, international or domestic travel

— Travel insurance or health insurance

— Airport or station transfers (available on request at an additional cost)

— Excursions, day trips, or optional activities

— Alcoholic and non-alcoholic beverages beyond those stated in the package

— Personal surf equipment (unless stated in the package)

— Any personal expenses

4.3 Excursions & Optional Activities

Excursions and optional activities are not included in the standard camp price. They depend on availability and a minimum number of participants. Yume Surfcamps reserves the right to cancel optional activities if these conditions are not met. In such cases, paid amounts for those specific activities will be refunded.

 

5. CANCELLATION POLICY — BY GUEST

5.1 How to Cancel

All cancellation requests must be submitted in writing via email to infoyumesurfcamps@gmail.com. The cancellation date is determined by the date and time Yume Surfcamps receives the written cancellation. Verbal cancellations (phone calls, voicemails) are not accepted.

5.2 Cancellation Fees

More than 60 days before arrival: 100% refund (10% retained)

31 – 60 days before arrival: 75% refund (25% retained)

15 – 30 days before arrival: 50% refund (50% retained)

8 – 14 days before arrival: 25% refund (75% retained)

7 days or less / No-show: No refund (100% retained)

5.3 No-Show

If a guest fails to arrive on the booked start date without prior written cancellation, no refund will be issued and 100% of the total booking amount will be retained.

5.4 Rebooking & Date Changes

Guests may request to change their booking dates subject to availability. Date change requests must be submitted in writing at least 30 days before the original arrival date. Yume Surfcamps will apply a rebooking fee of €30 per change. Changes requested less than 30 days before arrival cannot be guaranteed and may be treated as a cancellation.

5.5 Transferring a Booking

A booking may be transferred to another person who meets all participation requirements, provided written notice is given to Yume Surfcamps at least 7 days before the arrival date. The original guest remains liable for any outstanding balance.

5.6 Travel Insurance — Strongly Recommended

Yume Surfcamps strongly recommends that all guests purchase comprehensive travel insurance, including coverage for trip cancellation, medical treatment, emergency evacuation, loss of personal belongings, and surfing-related activities. Yume Surfcamps is not responsible for costs arising from cancellation due to illness, injury, or any other personal circumstances.

 

6. CANCELLATION BY YUME SURFCAMPS

6.1 Force Majeure

Yume Surfcamps reserves the right to cancel or modify any booking in cases of force majeure — including but not limited to: extreme weather conditions, natural disasters, epidemics or pandemics, government restrictions, civil unrest, fire, or any other event beyond the reasonable control of Yume Surfcamps. In such cases, guests will be offered: (a) a full refund of amounts paid, or (b) a credit of equal value valid for 12 months.

6.2 Minimum Participants

Certain group activities (surf lessons, workshops, excursions) require a minimum number of participants. If this minimum is not met, Yume Surfcamps reserves the right to cancel or reschedule the activity. Guests will be notified as early as possible, and any amounts paid specifically for cancelled activities will be refunded.

6.3 Operational Changes

Yume Surfcamps reserves the right to modify services, instructors, schedules, or activity locations if required by unforeseen circumstances, safety considerations, or conditions beyond our control (weather, ocean conditions, third-party availability). Yume Surfcamps will make every effort to provide a suitable alternative.

 

7. CONDITIONS OF PARTICIPATION

7.1 Minimum Age

All guests must be at least 18 years of age. Guests under the age of 18 may only participate with a written parental or legal guardian consent form, signed and submitted to Yume Surfcamps at least 7 days before arrival. Yume Surfcamps reserves the right to refuse participation to unaccompanied minors.

7.2 Physical Fitness & Health

By confirming a booking, guests confirm that they are in suitable physical condition to participate in all booked activities, including surfing. Guests must have basic swimming skills and be free of injuries or medical conditions that could be aggravated by physical activity. If in doubt, guests are advised to consult a doctor before booking.

7.3 Disclosure of Medical Conditions

Guests must inform Yume Surfcamps in writing of any relevant medical conditions, physical limitations, allergies (including food allergies), or disabilities prior to arrival. This information is required to ensure appropriate safety measures and to adapt activities where possible. Failure to disclose such information releases Yume Surfcamps from any liability for resulting complications.

7.4 Surfing Risk Acknowledgement

Guests acknowledge that surfing is a physically demanding activity with inherent risks, including but not limited to: collision with surfboards or other surfers, strong currents, hitting the sea floor, exhaustion, sunburn, and drowning. By participating, guests voluntarily accept these risks.

7.5 Instructor Authority

Guests must follow all instructions given by Yume Surfcamps surf instructors and staff at all times. Instructors have the authority to cancel or modify sessions at any time for safety reasons. Their decisions regarding surf conditions, spot selection, and activity suitability are final.

 

8. LIABILITY & DISCLAIMER

8.1 General Waiver

Participation in all activities, accommodation, and services provided by Yume Surfcamps is entirely at the guest's own risk. By booking, guests release, waive and hold Yume Surfcamps (ONDAS ATLÉTICAS, LDA), its directors, employees, instructors, agents and partners free from all claims, losses, damages, costs (including legal costs), injury, illness, death, or property damage arising from or in connection with participation in any service or activity organised by Yume Surfcamps — regardless of how such loss or damage is caused.

8.2 Surfing & Water Activities

Yume Surfcamps is not liable for accidents, injuries or deaths occurring during surf lessons, free surfing, water activities, or travel to and from surf spots. Surf sessions are always conducted at the participant's own risk. Yume Surfcamps can only be held liable for accidents resulting directly from demonstrably faulty or inappropriate equipment supplied by us.

8.3 Third-Party Services

Yume Surfcamps is not liable for any issues, delays, cancellations or injuries caused by third-party providers, including transport operators, excursion companies, yoga instructors, workshop providers, or any other external supplier.

8.4 Natural & Environmental Factors

Yume Surfcamps has no control over and accepts no liability for factors including weather conditions, ocean conditions, insect bites, animal encounters, natural hazards, or infections from natural elements. These are not grounds for refund.

8.5 Personal Property

Yume Surfcamps accepts no responsibility for loss, theft or damage to personal belongings of guests. Guests are advised to use any safety storage provided and to keep valuables secure at all times.

8.6 Liability Ceiling

To the maximum extent permitted by Portuguese law, Yume Surfcamps' contractual liability for damages is limited to a maximum of three (3) times the total price paid by the guest for the booked services, except in cases of proven gross negligence or intentional misconduct by Yume Surfcamps.

 

9. EQUIPMENT & PROPERTY

All surf equipment, accommodation furnishings, and other items provided by Yume Surfcamps must be treated with reasonable care. Guests are liable for the cost of repair or replacement of any item belonging to Yume Surfcamps that is damaged, lost or destroyed due to gross negligence or misuse. Any damage must be reported to staff immediately. Yume Surfcamps reserves the right to charge the cost of replacement directly to the guest.

 

10. TRANSFERS

Transfer services are available on request and must be booked at the time of reservation or at least 7 days before arrival. Transfer fees are payable at the time of booking. Group pickups are offered to keep costs low — individual pickup times may be adjusted accordingly but will not result in missed flights, trains, or buses.

— Transfer payments are due at the time of booking. Cash payment on arrival is accepted for transfers booked through collaborating companies.

— Transfer bookings are non-refundable for cancellations made less than 14 days before the scheduled pickup.

— Modifications to pickup or drop-off times may only be made up to 7 days before arrival. Changes after this point cannot be guaranteed and may incur additional charges.

— Yume Surfcamps is not responsible for delays or cancellations affecting transfers, flights, trains, or buses caused by third parties or force majeure.

— The transfer fee applies to one-way travel only.

 

11. INSURANCE

Each guest is responsible for arranging adequate insurance coverage before their stay. Yume Surfcamps strongly recommends — and for participants in surf lessons, effectively requires — that all guests hold:

— Comprehensive travel insurance including trip cancellation cover

— Medical insurance covering treatment and emergency evacuation abroad

— Coverage specifically including water sports and surfing activities

Yume Surfcamps will not cover, and cannot be held responsible for, the costs of any medical treatment, hospitalisation, evacuation, repatriation, or other expenses arising from injury or illness during a guest's stay. All such costs are the sole responsibility of the guest and their insurance provider.

 

12. GUEST CONDUCT & EXCLUSION

Guests are expected to behave respectfully towards staff, other guests, local communities, and the natural environment at all times. Yume Surfcamps reserves the right, without refund, to:

— Exclude any guest from activities if they fail to follow instructor or staff instructions, behave in a way that endangers themselves or others, or act in a manner that is disruptive or harmful to the experience of other guests.

— Terminate a guest's stay immediately and without refund in cases of serious misconduct, substance abuse, deliberate damage to property, harassment, or behaviour that brings the reputation of Yume Surfcamps into disrepute.

— Any costs or damages resulting from the actions of a guest will be charged to that guest directly.

 

13. PHOTOGRAPHY, VIDEO & MEDIA

During their stay, guests may be photographed or filmed by Yume Surfcamps staff or appointed content creators during activities, meals, and events. By confirming a booking, guests consent to Yume Surfcamps using such photographs, videos, or other recordings for promotional purposes, including on our website, social media channels, brochures, and advertising materials — without additional prior consent and without compensation.

This consent may be revoked at any time by submitting a written request to infoyumesurfcamps@gmail.com. Following receipt of such a request, Yume Surfcamps will not use new images or footage of that guest for promotional purposes. Where reasonably practicable, existing published material may be updated, though removal cannot be guaranteed for material already distributed to third parties.

 

14. RESPONSIBILITIES & COMPLIANCE

Guests are solely responsible for ensuring they hold valid travel documents (passport, visa, etc.) appropriate for entry into Portugal and any other countries relevant to their travel. Yume Surfcamps accepts no liability for issues arising from insufficient or invalid travel documents.

Guests must comply with all local laws and regulations during their stay. Yume Surfcamps is not responsible for any legal consequences arising from a guest's failure to comply with applicable laws.

 

15. MODIFICATIONS TO TERMS

Yume Surfcamps reserves the right to update or amend these Terms and Conditions at any time. The most current version will always be available on our website. For bookings already confirmed, the terms applicable at the time of booking apply. Significant changes will be communicated to guests with confirmed bookings by email.

 

16. SEVERABILITY

If any provision of these Terms and Conditions is found to be invalid, unlawful, or unenforceable under applicable law, that provision will be deemed severed and will not affect the validity or enforceability of the remaining provisions, which will continue in full force and effect.

 

17. APPLICABLE LAW & JURISDICTION

These Terms and Conditions are governed by and construed in accordance with the laws of Portugal. Any dispute arising from or in connection with these Terms and Conditions or a booking with Yume Surfcamps shall be subject to the exclusive jurisdiction of the courts of Aveiro, Portugal.

By making a payment to Yume Surfcamps, you confirm that you have read, understood, and accepted these Terms and Conditions in full.
